Odoo to connect the management of your service company
From the first proposal to invoicing, there is information that needs to follow each job. We help you organize that flow so your team can check what was agreed, what is under way and what is still pending.
When selling, delivering and invoicing are disconnected
The sales team agrees on a scope, the people delivering it receive it through different channels and Administration has to reconstruct at the end what should be invoiced.
Connecting those steps makes it possible to define owners and record information when it happens. Odoo can support that workflow when its configuration matches the organization’s service model.
A shared workflow
Opportunities and proposals
Organize sales follow-up, client needs and the terms of each proposal.
Projects and responsibilities
Link what was agreed to tasks, owners and delivery stages.
Time and progress
Define what information the team needs to record to review the work and its deviations.
Invoicing
Establish how deliveries, hours, milestones or service periods relate to the administrative workflow.
Follow-up
Check defined indicators based on consistent data: progress, pending work, time spent or information to analyze the result of the service.
The configuration depends on how you sell and deliver the service
| Operating model | What to define |
|---|---|
| Project with an agreed scope | Deliverables, milestones, changes and acceptance |
| Time-based service | Recording, review and approval of the work |
| Recurring service | Periods, scope, follow-up and renewal |
| Operation with several teams | Responsibilities, access to information and coordination |
These models can coexist. The assessment establishes what the system should record and which decisions belong to the team.
We start with a workflow you can validate
We choose a representative flow, from proposal to invoicing, and define how it should work. On that basis, the configuration is prepared, the data is reviewed and usage is validated with the people involved.
Once that workflow is clear, the next stage can be evaluated: adding areas, incorporating integrations or expanding reports.
What your organization needs to provide
- An example of a typical proposal and service, with test or anonymized data.
- The people who know the sales process, delivery and administration.
- The criteria you currently use to invoice and review progress.
- The reports you need and the source of their data.
Frequently asked questions
Does it work if every project is different?
We can separate what changes in each project from the steps that repeat: proposal, assignment, follow-up and invoicing. That base helps define what is worth standardizing and where flexibility is needed.
Can retainers and projects be combined?
The workflows for each model and the features needed to manage them are evaluated. Invoicing, renewal and follow-up rules must be defined in the scope.
Can we see the profitability of a project?
We can define what information is needed to analyze revenue and costs. How useful the report is depends on the allocation criteria and the quality of the records; installing a system does not replace those definitions.
Do we have to change all our processes?
There is no single answer. We review what works, what gets in the way and what is worth adapting. The first stage is defined based on the organization’s priorities.
