The essentials of this note
- Since Odoo 20, AI is paid with usage-based credits, not per user.
- With your own AI account, one model per task and a monthly cap, spending stays under control.
- Reading a text PDF bill costs about US$ 0.0015; an image, 10 to 18 times more.
- Examples: bill entry and matching, bank reconciliation and inventory planning.
Since Odoo 20, every artificial intelligence feature consumes credits bought separately from licenses. The cost depends on how much they are used, not on the number of users, and Odoo does not publish a fixed price per task.
That does not have to be a problem. With the right setup, AI in Odoo can cost cents per document and stay under a monthly cap. In this note we explain how we handle it at Reswoy.
Why AI costs are hard to predict
Every request to an AI model consumes tokens: units of text the model reads and writes. The cost depends on the model chosen, the size of what is sent and how many times the task runs.
A scheduled agent that runs every day spends even if nobody reads its output, and a scanned image can cost several times more than the same document as text. Without control, spending grows with usage.
How we control the cost at Reswoy
Our AI solutions on Odoo are designed to keep spending predictable:
Your own AI account
We connect Odoo to the provider you choose (OpenAI, Anthropic, Google Gemini or other compatible ones) using your account. You pay actual usage at the provider’s price, with no intermediate credits.
The right model for each task
We assign a model per task: an economical one for routine documents and a more powerful one only where needed. The price difference between models can be 10 to 1.
Monthly cap and alert
You set a monthly spending limit and an alert threshold. When the cap is reached, AI stops and the system notifies you.
Visible usage
A dashboard shows the month’s spending, projection, trend and cost per task, with the detail of each request.
Send only what is needed
If a PDF has text, we send the text, not the image. In our tests, reading an image costs 10 to 18 times more than reading the same document as text.
What it costs in practice
Values measured in Reswoy tests in September 2026 with an economical model (GPT-4.1 mini). They are indicative: they depend on the document and the provider’s prices.
| Task | Approximate cost | With 1,000 documents a month |
|---|---|---|
| Read a vendor bill as a text PDF | US$ 0.0015 | US$ 1.50 |
| Read a scanned bill or a photo | US$ 0.015 to 0.027 | US$ 15 to 27 |
That is why it pays to ask suppliers for digital PDF invoices: besides being more reliable, reading them is much cheaper.
Reswoy AI solutions on Odoo
Three processes we solve with our AI solutions, with the cost under control:
Bill entry and matching
Vendor bills that arrive by email or are uploaded to Odoo are read with AI and matched against ARCA records and purchase orders. Nothing is posted automatically: anything that does not match is flagged for review. See the end-to-end AI document solution.
Bank reconciliation
Argentine bank statements are imported by dragging the file. AI interprets transaction descriptions and suggests which invoice or payment to reconcile them with; a person confirms.
Inventory planning
Based on sales and purchase history, AI anticipates demand and suggests minimum and maximum stock levels per product, so you buy on time and without overstock.
Frequently asked questions
Do I have to stop using Odoo’s AI?
No. You can use Odoo’s AI features with their credits and, for high-volume tasks, our integration with your own account and a spending cap.
Does my data stay with the AI provider?
Only the information needed for each task is sent. Data-use terms depend on the provider and plan you choose; we review them with you during setup.
What happens when the monthly cap is reached?
AI stops processing until next month or until you raise the limit, and the system notifies you. The rest of Odoo keeps working normally.
Does it work on Odoo 19 and Odoo 20?
Our module works on Odoo 19 today and we include it in the upgrade plan to Odoo 20.
